Introduction
The Big (Performance) Picture
WebISO is first and foremost a document change management system with
effective revision control features.
1. WebIso gives you control over the creation, distribution and
maintenance of procedure manuals (like those used for quality or
environment control).
2. WebISO allows complete freedom in manual creation. Composition, page
layout, formatting all can be fully customized. And the only tools you
need to build or view manuals are the tools you already know -- like
your favorite word processor or Internet browser.
3. WebISO is a fully web-based solution. So if you use it on your
intranet, all necessary processes to handle quality management reside

Integrates
intelligently with your own email environment.
WebISO automatically integrates with your corporate email system.
This means that standard email is used to send requests for approval to
the right people, and to notify concerned end-users (viewers) about
changes in documents or about the availability of new documents in the
manual.
Support
for rich media types
WebISO supports all kinds of multimedia data types:
pictures, images, video, sound, flowcharts, graphics, and more.
With Visio and iGrafx FlowCharter, WebISO goes one step further: our
system makes sub-elements in a drawing become hyperlink-sensitive.
This means that a user can click on a sub-element and immediately
navigate to other parts in the same document or to another document in
the manual.

hyperlinks

WebISO automatically generates hyperlinks between different documents
within a manual.
If, for example, the title of a document is found in the body of any
other document, then Web ISO will create an automatic hyperlink to that
document. This feature makes procedure manuals much more usable. It
ís like automatic cross-referencing.
External
documents
WebISO supports uploading all types of external documents through your
browser. Any of these external documents, once loaded in your browser,
can be used within WebISO and subsequently saved in a project directory
or sent by email.
Users
& Security
WebISO gives you full control over the relationship between users and
documents. You can define for each user the access he or she can have
for each specific document (read, create, write, modify, delete, move).
Tight management is accomplished through the use of logical groups of
users (e.g. sales department, logistics, the admin group). Users can
belong to multiple groups, automatically giving them the rights
attached to each separate group. As an example, the manager of the
admin group has access not only to the documents pertaining to admin,
but also to management-specific information.
Likewise, documents can be grouped logically (e.g. sales procedures,
operational workflow). The combination of user and document groups
makes access management even easier, yet more powerful.
WebISO provides complete security access. Every action in WebISO can be
secured, giving you total control over who can do what, when and how.
Document
templates
You can use your own pre-defined document templates in WebISO. This way
you can be sure to have a consistent layout throughout your procedure
manual (and one that ís in line with the company’s style as
well).
An unlimited number of templates can be created and used, giving you
absolute layout freedom for your manuals.
A big problem in procedure control is users printing parts of the
manual which then are outside the centralized control of the system.
With WebISO this can be easily solved by adding a standard watermark
phrase to the template used for printing: "This printed document is an
uncontrolled version."
WebISO can also be delivered with an XML (eXtensible Markup Language)
interface. This technology makes it possible to attach meta-information
to documents, or to bind structural information to document templates.
Enabling a fast XML search engine for metadata retrieval can make users
more efficient and productive.
Version
control
In managing procedure manuals, it is extremely important to be able to
track the history of any given procedure. Tight, accurate tracking is a
vital feature of webISO.
Every modification on a document leading to a new
version is stored in the database. If needed, webISO can show the
differences between the two versions (color coded for easy reference).
More importantly, WebISO can show the differences (deltas) between the
different versions. This makes it possible to roll back to an older
version if needed, effectively keeping the history of a document at
your fingertips.
Of course, an overview of the different versions (numbered
automatically) is also available for each document, with information on
who made modifications, added comments or took action and precisely
when any activity occurred.
Multiple
formats
WebISO can automatically generate a procedure manual in both HTML and
PDF (Acrobat) format. (HTML is the web-based format best suited for
intranet as well as extranet activities, and is consulted using a
standard internet browser.)
HTML also allows people outside the company to work with WebISO or to
consult published manuals in complete security (via extranet
functionality).
PDF is the file format used by Adobe Acrobat, and is effectively an
electronic paper format. The advantage of this format is that the
document cannot be easily modified after it has been printed
electronically (the document also has the same look as if it were
printed on paper). In addition, you can put files in this format on a
CD for use by people not connected to your network.
The software needed to read PDF files is called Acrobat Reader. It
ís free to use and can be easily downloaded and installed from
the Adobe web site. You can also read PDF files on other devices
besides PCs, such as modern mobile phones or PDAs (personal Digital
Assistants).
Integrated
search engine
Of course every procedure manual should have a good index in order to
make it easy to find the right documents. And it ís efficient to
be able to quickly locate documents related to a certain subject.
Here’s where a search engine comes in handy.
WebISO’s integrated search engine provides precise functionality. Just
type in a word or set of words, and you will get, as a result, all
documents related to the search term, sorted in order of relevance.
If your organization already has a search engine on your intranet, that
engine can be integrated into WebISO.
